Why most first messages get ignored

Suppliers on Alibaba receive dozens of vague messages a day: 'Hello, I want to buy your product. What is your price?' That tells them nothing. They do not know if you are a real buyer, what you need, or if you are worth their time.

A good first message solves that. It gives the supplier enough to reply with a real number instead of a template. It also filters out the suppliers who are not a fit for your order size or destination.

  • The goal is to make replying easy for the supplier.

The copy-paste first message that works

Here is a message you can adapt and send. It is in plain English, and it contains the four things a supplier needs to quote you accurately.

Copy it, fill in the brackets, and send it through the Alibaba chat. Then wait. A serious supplier will answer within 24 hours, usually much faster.

  • Subject line: Inquiry about [Product Name] – [Quantity] units to [Country]
  • Message body: 'Hello, I am interested in [Product Name] with [specific feature, e.g., custom logo]. My target quantity is [quantity] units. I am shipping to [country]. Could you please send me your best unit price (FOB or EXW) and the MOQ? Also, what is the lead time for production? Thank you.'

The four things every first message must contain

These four elements are the minimum for a supplier to give you a real quote. Miss one, and you will get a vague answer or a request for more information that slows you down.

  • 2. Target quantity – so they can calculate the unit price (price drops with volume).
  • 3. Destination country – for shipping cost and customs considerations.

What the supplier's reply really means

When a supplier replies with a price, that is the start, not the end. A quote like 'USD 2.50/pc, MOQ 1000' means the unit price is 2.50 US dollars per piece, and you must order at least 1000 pieces to get that price.

If the MOQ is higher than you expected, you can ask for a lower MOQ, but expect the unit price to go up. If the price seems too good, ask for a sample before committing. That is normal practice, not an insult.

  • FOB means the price includes transport to the Chinese port.
  • EXW means you pay for everything after the factory gate.
  • Always ask for the Incoterm in your quote.

When Chinese language skills help (and when they don't)

You can do business on Alibaba in English. Most suppliers have staff who speak basic English. But nuance gets lost. If you want to understand what a supplier is really saying, or if you are on a WeChat call, having someone who speaks business Chinese helps.

Common mistakes to avoid in your first message

Do not send a message that is too long. Suppliers skim. Do not ask for a catalog right away – you will get a PDF and no quote. Do not say 'I am a small buyer' – it invites a higher price. And never give your full business plan in the first message.

Should I message in Chinese or English on Alibaba?

English is fine for most suppliers on Alibaba. They have English-speaking sales staff. If you want to build a closer relationship or negotiate on WeChat, a bit of Chinese helps, but it is not required for a first quote.

What is MOQ and why does it matter?

MOQ stands for Minimum Order Quantity. It is the smallest number of units a supplier will produce or sell. It matters because it sets the floor for your order and affects the unit price. Ask for it in your first message so you know if the supplier is a fit.

How long should I wait for a reply?

Most serious suppliers reply within 24 hours, often within a few hours. If you hear nothing in 48 hours, send a polite follow-up. If you still hear nothing, move on to the next supplier. There are thousands on Alibaba.

What if the supplier asks for my company details before quoting?

That is normal. They want to verify you are a real business. You can share your company name and website if you have one. If you are a solo importer, say you are a private buyer. Do not give your passport or bank details – that is a red flag.

Can I negotiate the MOQ down?

Yes, you can ask. Say something like 'Your MOQ is 1000, but I can only start with 300. Can you do a trial order at a higher unit price?' Many suppliers will agree to a smaller first order to win your business, but expect to pay more per unit.
